1. Information We Collect

1.1 Account Information

When you register, we collect your name, email address, phone number, role (student, tutor, or institution), profile photo, and any qualifications or credentials you submit for verification.

1.2 Payment Data

We collect information related to wallet recharges, session payments, and payouts including transaction IDs, amounts, and payment method details. Full card numbers are never stored on our servers — payment processing is handled by PCI-compliant third-party providers.

1.3 Session Data

We collect data related to your tutoring sessions including subject, duration, scheduling information, ratings, reviews, and session logs for quality and dispute resolution purposes.

1.4 Usage & Device Data

We automatically collect information such as IP address, browser type, device type, operating system, pages visited, and interaction patterns to improve our platform.

1.5 Google Account and Google User Data

If you choose to sign in to Aedume using Google, or connect your Google Account to an Aedume feature, we access information made available through Google APIs based on the permissions (OAuth scopes) that you authorize. Aedume requests only the Google API permissions reasonably necessary for the applicable feature, and the authorization screen shown at the time will identify the permissions being requested.

The Google permissions Aedume may request, and what each is used for, are:

• Sign-in (name, email address, profile photo, Google Account identifier): to authenticate you and create or access your Aedume account.
• Google Calendar events, for tutors who choose to link their calendar: to create, update, and delete the calendar event for a class you host, including its Google Meet link and its invitee list. Linking a calendar makes you the organiser of your own class, which is what gives you host controls in the meeting. This is optional, is offered only to tutors, and can be unlinked at any time from your Aedume profile.
• Google Meet meeting settings, for tutors who link their calendar: to restrict a class meeting so that only people who registered for it can join without knocking.

Aedume does not request access to Gmail, Google Drive, Google Sheets, your contacts, your birthday or age information, or your wider Google Calendar. Calendar access is limited to events, and Aedume creates and manages only the events for classes hosted through the platform. Where we need to know whether an account holder is under 18, we ask for a date of birth directly rather than requesting it from Google.

1.6 Information You Provide to Us

You may also provide information when you contact customer support, submit feedback, report a problem, participate in surveys, communicate with tutors, students, institutions, or Aedume personnel, or submit documents required to use particular Services.

2. How We Use Your Information

• Provide, operate, and maintain the Aedume platform
• Process payments, escrow transactions, and payouts
• Verify tutor qualifications and identity
• Match learners with appropriate educators
• Send transactional notifications (booking confirmations, reminders)
• Improve our platform, features, and user experience
• Detect and prevent fraud, abuse, or security incidents
• Comply with legal obligations

2.1 Use of Google User Data

When you authorize Aedume to access Google user data through Google APIs, we use that data only as necessary to provide the functionality you requested or authorized — authenticating your identity and enabling sign-in, associating your Google Account with your Aedume account, creating and maintaining the calendar event and meeting for a class you host, maintaining security, and complying with applicable legal obligations.

Aedume does not use Google user data for purposes unrelated to the functionality for which the relevant Google permission was granted.

3. Google API Limited Use and Google User Data Restrictions

Aedume's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, Aedume:

• Requests only the Google API permissions reasonably necessary for the relevant functionality.
• Uses Google user data only to provide or improve user-facing features that are visible and directly related to the functionality you requested.
• Does not sell Google user data.
• Does not use Google user data for targeted advertising, personalized advertising, or advertising profiling.
• Does not use Google user data for data brokerage or similar commercial data-transfer purposes.
• Does not use Google user data for purposes unrelated to the functionality for which you granted authorization.
• Limits access to Google user data to personnel and service providers who require it for legitimate operational purposes, and protects it using appropriate technical and organizational safeguards.
• Retains Google user data only as long as necessary for the purposes described in this policy, subject to applicable legal and operational requirements.

3.1 AI and Machine Learning

Aedume does not use Google user data obtained through Google Workspace APIs to develop, improve, or train generalized or non-personalized artificial intelligence or machine learning models.

4. Data Sharing & Disclosure

We do not sell your personal data. We do not sell Google user data. We share information only in the following circumstances:

• With other users: Tutor profiles are visible to students; your name and profile photo are shared with session participants.
• Service providers: Payment processors, cloud hosting, analytics, and communication providers who assist in operating the platform.
• Legal requirements: When required by law, regulation, legal process, or governmental request.
• Business transfers: In connection with a merger, acquisition, or sale of assets, subject to applicable restrictions governing Google user data.
• With your consent: For additional purposes you specifically authorize.

4.1 Google User Data and Third Parties

Aedume does not transfer Google user data to third parties except where necessary to provide a user-facing feature you requested, to operate or secure the Services through an authorized service provider acting on Aedume's behalf, to comply with applicable law or valid legal process, or to protect the security, rights, property, or safety of Aedume, our users, or others. Service providers receiving such data may use it only for that service, and not for independent advertising, data brokerage, or any other purpose prohibited by Google's API policies.

5. Data Retention, Deletion & Revoking Google Access

We retain personal information only for as long as reasonably necessary to provide the Services, maintain account and transaction records, resolve disputes, prevent fraud, maintain security, comply with legal, tax and regulatory obligations, and enforce our agreements. Google user data obtained through Google APIs is retained only as long as reasonably necessary to provide the authorized functionality, maintain security, or comply with legal obligations. Backup copies may persist for a limited period as part of normal disaster-recovery processes before being securely overwritten.

5.1 Deleting your account

You may request deletion of your Aedume account and applicable personal information by contacting meet@aedume.com. We will take reasonable steps to delete or anonymize your information, subject to records we are required or permitted to retain for legal, financial, security, or dispute-resolution purposes. Where an account has sessions, payments, or reviews attached, personal data is erased and sign-in disabled while the linked records are kept, so the other party's history stays intact.

5.2 Revoking Google access and deleting Google user data

You can revoke Aedume's access to your Google Account at any time from your Google Account permissions settings. Tutors can also unlink their calendar directly from their Aedume profile. After revocation, Aedume can no longer access Google data through that authorization, and features depending on the integration — such as hosting a class on your own calendar — will stop working.

Revoking access does not by itself delete data already obtained. To request deletion of Google user data held by Aedume, contact meet@aedume.com. Where the data is no longer necessary for the authorized functionality or another permitted purpose, we will take reasonable steps to delete or anonymize it.

6. Data Storage & International Transfers

Aedume stores and processes information using infrastructure operated by Aedume and its service providers. Depending on the location of that infrastructure, information may be processed or stored in countries other than the one in which you reside. Where information is transferred across jurisdictions, we take reasonable steps to maintain appropriate security and privacy protections and to comply with applicable legal requirements.

7. Cookies

We use cookies and similar tracking technologies to maintain your session, remember preferences, and analyze platform usage. You can manage cookie preferences through your browser settings. Essential cookies required for platform functionality cannot be disabled.

8. Data Security

We implement industry-standard security measures including encryption in transit (TLS) and at rest, secure escrow payment processing, role-based access controls, and regular security audits. While no method of transmission or storage is 100% secure, we strive to protect your personal information with commercially reasonable safeguards.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate or incomplete information
• Delete your account and personal data
• Export your data in a portable format
• Restrict or object to certain processing activities

10. Children's Privacy

Aedume is not directed at children under the age of 13. Users under 18 must have parental or guardian consent to use the platform. If we learn that we have collected personal information from a child under 13 without verified parental consent, we will take steps to delete that information promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the “Last updated” date. Your continued use of the platform after changes constitutes acceptance of the revised policy.
